Hospitality payroll
Rotas, split shifts and a workforce that changes constantly
Hospitality payroll follows the rota, and the rota changes on the day. That is the job.
Overview
Payroll that follows the rota.
In hospitality, the hours that get worked are rarely the hours that were rostered. Shifts get swapped, staff stay late on a busy Saturday, somebody covers a sick colleague. By the time the week closes, the actual hours are what matter and they need processing quickly.
Add a young workforce spanning several National Minimum Wage age bands, high turnover, and the tips question, and you have a payroll that needs attention rather than automation.
- Weekly or fortnightly processing to suit the venue
- Rota and clock-in data accepted in your existing format
- Split shifts and unsocial-hours premiums
- Age-banded National Minimum Wage checking
- Under-18 and apprentice rates handled correctly
- High-volume starters and leavers
- Holiday accrual for variable hours
- Multi-site reporting
- Statutory payments where entitlement arises
- Pension assessment for short-tenure staff
- Digital payslips accessible on a phone
- Cost reporting by site and by department
The hospitality specifics
What catches venues out.
These are the issues that produce most of the queries we see from pubs, restaurants and hotels.
Birthdays
A worker crossing an age band mid-year changes their minimum rate.
Accommodation offset
Live-in staff have strict rules on what may be offset.
Unpaid trial shifts
A well-known area of risk. Worth taking advice on.
Holiday for variable hours
Accrued on hours worked, not assumed from a contract.
Tips and service charge
Treatment depends on how they are collected and shared.
Short tenure
Someone who works two weeks still generates payroll obligations.

Questions
Common questions
Usually yes. Most rota and time-and-attendance systems export hours in a format we can work with. We would rather adapt to your existing system than make you re-key hours into ours.
It depends on how they are collected and distributed, and the rules in this area have changed. Tips paid through the payroll are treated differently from those distributed by a genuinely independent troncmaster. We will process what you instruct and set out the implications, but the arrangement itself is worth confirming with your accountant.
Yes. Multi-site venues are processed as one payroll with reporting split by site, so each manager can see their own labour cost while the submissions remain consolidated.
