Temporary worker payroll

High volume, high churn, no room for error

Temporary worker payroll is a different discipline. The population changes every week and the holiday calculation is where most providers come unstuck.

Overview

Built for churn.

With temporary workers, the workforce is never the same two weeks running. Someone starts Monday, works four shifts, and leaves. Somebody else works for three different clients at three different rates. The payroll has to absorb that without a manual rebuild each week.

Add accrued holiday, which for irregular hours has to be calculated properly rather than estimated, and you have the two things that cause almost every dispute in this sector.

  • High-volume weekly processing
  • Rapid starter and leaver handling
  • Multiple assignments and rates per worker
  • Assignment-level reporting
  • Holiday accrual for irregular hours
  • Holiday pay requests processed correctly
  • National Minimum Wage checked by age band
  • Statutory payments where entitlement arises
  • Pension assessment for short assignments
  • Digital payslips accessible to workers
  • RTI submission each pay period
  • Client-level cost reporting

Where temp payroll goes wrong

The six recurring problems.

Every one of these produces either a worker complaint or an HMRC problem, and all of them are avoidable.

Holiday miscalculated

Irregular-hours accrual estimated instead of calculated.

Rates below minimum

Age-band changes missed when a worker has a birthday.

Duplicate records

The same worker set up twice, producing tax code chaos.

Late leavers

P45s not issued, so the next employer starts them incorrectly.

Pension missed

Short assignments still trigger assessment duties.

No assignment view

Costs cannot be attributed back to the client who incurred them.

Questions

Common questions

Yes. Volume is a question of process and data format rather than difficulty. What matters is agreeing how the hours reach us and in what structure — get that right and the volume looks after itself.

Entitlement accrues as hours are worked and has to be calculated on actual hours rather than assumed. We track accrual per worker, show it on the payslip so workers can see where they stand, and process requests as they come in.

Yes. Where workers are placed with different clients we can report cost by assignment and by client, which is usually what makes the invoicing side work.
