Switch payroll provider
Switching payroll is easier than staying somewhere that is not working
Most businesses stay with a payroll provider they have lost confidence in because they think moving is disruptive. It takes about a fortnight and you do not need to wait for April.
Overview
What actually happens when you move.
A payroll transfer is a data exercise. We take year-to-date figures, employee records, tax codes, pension details and any ongoing orders from your current provider, verify them against your own records, and run a parallel check before the first live run.
Your current provider is obliged to give you your data. You do not need their goodwill and you do not need to explain yourself. Check your notice period, tell them in writing, and we handle the rest.
- Review of your current setup and pain points
- List of exactly what we need from your provider
- Year-to-date figures transferred and verified
- Employee records, tax codes and NI categories
- Pension scheme details and contribution history
- Student loan and attachment orders carried across
- Parallel run before going live where practical
- Discrepancies raised and resolved before the first run
- Timetable agreed with you in advance
- Employees told what changes for them, which is very little
- First live run supported closely
- A named contact from the first conversation
The transfer
Six steps, roughly a fortnight.
Nothing here requires a year end and none of it requires your current provider to be helpful.
Scoping
We look at what you have, what it costs and what is going wrong.
Notice
You give written notice. Check the period in your agreement first.
Data request
We tell you precisely what to ask for so nothing is missed.
Verification
Figures checked against your own records, not taken on trust.
Parallel run
Where timing allows, we run alongside and compare before going live.
Go live
First run supported closely, then it becomes routine.
Next step
Talk about switching
Tell us who you are with now, how many employees you have and what is not working, and we will set out what moving would involve.
Get a payroll quote
Three steps. We price on what your payroll actually involves, not a headcount guess.
Your payroll enquiry has been received.
We will review your requirements and come back with a written quote and a proposed switching timetable. If your next pay run is at risk, call us and say so.
Questions
Common questions
No. Mid-year transfers are completely routine. We take the year-to-date figures and continue from where your current provider left off. Moving at the start of a tax month is tidier, but it is not a requirement.
It happens, and it does not stop the move. You are entitled to your own payroll data. We will give you a written list of exactly what to request. If it is not forthcoming, most of it can be rebuilt from your P60s, payslips and pension records — it is more work, but it is not a dead end.
Very little. Payslips will look different and may arrive through a different route. Pay dates, pay amounts and pension arrangements stay as they are unless you ask us to change them. We will give you a short note you can send to staff.
